you may lose data on your Hard Drive (HDD) in two scenarios
1) destroyed partition, accidentally format or a combination
2) your HDD spits out a OS not found, please insert boot media and some possibly weird noises come from the HDD.
we will focus on 1) because we have software tools to help you out on it and 2) means your HDD has failed on the mechanical level (platter damage or konk-out PCB) which needs hardware intervention and a professional service.
The first and foremost rule in data recovery is -
1) STOP everything you're doing...
which is layman's paraphrase of the most important rule of data recovery which states "after data loss, never write to the hard drive in question". Since common sense is sometimes not that common, the simple reason is that when you delete something from your HDD, the OS (i don't care which) does NOT permanently delete that information. it only tells you that there is more free space – that space is still occupied by your deleted information, but it changes it state, from occupied to free. This is true for both lost files and lost partitions. If you delete a partition, you can’t see it, but a data recovery software can. Same thing with full formatted hard drives.
2) Turn of your computer.
To play it safe, right after your data loss, you should turn off the computer. Routine OS depends on reads and writes from and to the hard drive, and your lost data situation will be worsen .
3) Restore your backups
we'll skip this part as if you already have a up-to-date and working backup you wouldn't be reading this in the first place.
4) Don’t install data recovery software on the same physical hard drive.
I'm not talking about extended/logical partition C:\ and D:\, etc, I'm talking about the entire physical HDD where the data loss occurred. Remember step 1? good. Next step depends on where the data loss occured. pick 1 or 2 depending on your situation.
If the data you lost is on the same physical HDD as where your OS resides continue, if not, skip to 2a)
1a) if your data loss occur on the same hard disk as where you have your OS installed: remove the hard drive from the computer, set it to slave mode and connect another one with an OS installed. Install the recovery software on that computer then do a recovery scan and restore operations or
1b) plug a new HDD into the system and set it up as master, install an OS , install the recovery software. Change the HDD which you want to recover as slave, plug it in and do a recovery scan and restore.
1c) If you do not have a second spare HDD, can't afford to buy one or don't have a spare PC around, you can use rescue disks which have recovery tools included. the problem now is that you will be contravening rule no.5. therefore beg, borrow or steal!
If your data is NOT on the same physical hard disk as your OS
2a) if the HDD is not where your OS resides (it's already a slave drive or on the 2nd IDE controller), then you can install the the recovery software, do a recovery scan and restore.
5) Don't recovery the files into the same Hard Disk.
Same as Rule 1. Make sure you have sufficient space on this drive for storing the recovered data.
6) Make an image/Clone
some people make an image of the HDD as you can recover from this drive image as you would recover from the original drive. Making an image also reduces the load on the drive because each sector is read only once. same as rule 1. If you have a strong inkling that your dead drive is going to go even deader, it is advisable to make a drive image first. A mechanically damaged drive can fail entirely the longer the clock ticks away so your primary goal to pull all raw data off such a drive as fast as possible.
Personally I've used 2 softwares for file recovery that on many occassions I've been able to recovery 90% of all data that was lost. In order of experience 1) File Scavenger and 2) Ontrack Easy Reovery professional. Unfortunately both are commercial programs. There is a plethora of other non-commercial open source and free programs available as well.
