 Company Accounts Holding monthly Claims, Finance team from hell

I’ve been with my company for almost 14 years and recently, I’ve been hit with a situation that’s left me fuming. I submitted a claim for around RM 54,000 for various expenses related to a China Factory Test I paid for upfront. These expenses included things like hotel, food, and travel for 11 people, plus 3 months of monthly expenses (petrol, tolls, phone bills, and entertainment). The total was about RM 40,000 for the factory test-related expenses and the rest for the other monthlies.

Here’s where it gets weird: the company’s finance team has now withheld RM 54,000 from me, citing things like a RM 900 JPJ fine (reduced to RM 450) and a RM 1900 MPPJ fine (reduced to RM 600) as reasons for the withheld the claims. These are small amounts in the grand scheme of things, especially when you consider the total claim.

To make matters worse, I feel like I’m fighting alone here. My direct boss (Executive Director) is aware of the situation, but he’s acting like it’s no big deal and hasn’t done anything to help me resolve this. The finance team seems to be imposing new requirements out of nowhere. After working with this company for so long, it feels like I’m being treated unfairly.

Has anyone here dealt with a situation like this?

I can move out of this company, but it feels like they win. Should I reach out to a lawyer? I fear, going to a lawyer will only result in them asking me to settle this amicably. The thing is, I usually get away with things by talking to the MD directly.

I dont want this. I want to win, while I can find job outside, I want this to escalate so bad, it results in her getting fired.

I clear my saman . I pay .. my question is can they withheld my claims though because of this ?

Yes they can. So pay the fine, inform them with receipts then get everything black and white to get your claims back. After this inform them that you will NOT BE FORKING MONEY on their behalf and apply for business credit card

Just pay as instructed, no hanky panky. Then see how they respond lor. Follow up with future company expenses all wait this awesome finance team decide. Any future problem from this is not on u. Put it in black n white CC all bosses.

Reading from your tone here. You feel disrespected because finance team treat u like some shady ppl trying to rip off the company? I advise caution against thinking with your heart. Need to be logical here, the finance team actually do no wrong they just following sop. I am on the boat everything best to follow SOP, because kasi adjust kasi cincai kasi chan thing very easy to end up with selective enforcement and then suddenly the no clear line is drawn and everyone start doing thigns on a whim. Like how u are feeling here right now, u start arguing about "last time okay, why now suddenly not okay?? what u trying to imply?? kurang ajar no respect me!!!"

Not good for long term.

hmm, since you already paid the local summons, why they wana withheld the payment? It is totally not realted to China trip :X

SInce you say can talk to MD, why not talk to him/her?

im in finance. if my staff got saman. i will not allowed to claim. even using own car or company's car.

if using company car. ask staff to pay. if not, deduct salary.

if finance allowed to claim, later all the staff park illegally and have the thinking "i dont care, company will pay"

Well, you submitted supposedly non-claimable items together with what's supposed to be claimable. Don't think your finance people really did anything wrong in withholding the entire claim.

TS did the incorrect move in the 1st place (claiming saman)
thats why the finance team onhold everthing (perhaps they are checking one by one now)

Betul. TS need to understand that the finance need to approve the claims and mark it as cost to the company which will be used to deduce tax but the black and white needs to be iron proof for LHDN. If kena audit TS will just go yang kaki whilst finance kena

it's not that , it takes time . usually I need to que at jpj , and can get 50% discount .

the thing is , I'm using company car and I don't get the list unless I get my assistant to check for me .

the most recent was today . the claim was month June , payment ready but holding because I kena Saman last Saturday .

by the way I'm using company's car
Not good for long term.

my Saman cannot claim . they hold my monthly claims I submit averages between 2800 to 3000 . So usually I fork out my own money , especially when comes to entertaining client ..

usually we don't have this issue , finance just pay up . only recently being anal about it , insist Ur car have majilis so we are not processing your claims .

no I'm not claiming the saman . the Saman I eventually got discount from jpj and Majilis .

this is why I didn't settle immediately. I usually collect and request for discount .

any staff claim policy? can claim saman even after discount? my company cannot claim saman. now every month need to submit.As i knew now different u cant claim 3 mths, its better every month due to reporting and einvoice

Sounds like no clear policy on claim.

Entertaining client can be ambiguous. Probably there is change in management to limit entertainment expenses. Some manager like to abuse the entertainment policy as free unlimited self entertainment while entertaining clients.

Company should have not make sudden change without briefing new guidelines. When company start owing employee money, this is very discoursing. Some people ask for advance money for entertaining client or even for travel and return excess with itemized bill. smile.gif

Ts u paid the saman.
After paying, submit the receipt to hr say u paid. Depending on your company policy, they might proceed with your current claims minus the saman amount which u already paid.
Some will ask u to submit new claim submission without the saman.

Anyway i dont see what is wrong with the company here?
