Recommendations Host Outlook .PST file, suggestion on ways

Hi,
I am the guy who maintaining my office email structure. Usually what we do, everyone email is stored on their personal outlook file, and when they leave, they have to handover their pst file to me.
so when other people want to refer something which are in his/her email, they have to import the pst file into their outlook. easy but when people come and go, things get pretty messy as i have to teach everyone times and times on how to do it.
is there's a way that i can import the pst file into somehow a web app which everyone can browse thru the email contents just from the browser or something like that?

no we dont have exchange server. since just a small company, our email is hosted in server at exabytes

Why don't you provide them a written step-by-step guide? Saves your time and energy. Make a policy and get approval from top management, they won't be bothering you again.

step by step guide is easy. but in the end the result is still the same as what i have been doing. no productivity.

Another idea is to setup a PC/server containing all the pst files. Then setup individual profile based on the PST. After that, anyone can view via Remote Desktop or other virtual methods. Limited to 1 user at a time, but it's not every hour that all staff need to view the pst files right?

Instead of POP3, use IMAP. All your emails would be stored on the server. Make sure your server got enough space to store all the employees email.
By default, all emails is protected under the law. It should not be view or accessible by other people. Person who wanted to know about the email content then he/she should be in the CC or BCC list. That's the purpose of CC and BCC. Cannot simply open ex-employee PST file like that. Local companies still have the issue with this. MNC will straight delete the email account once the employee leaving the company premises on his/her last day of work.

After a long break, decided to share some personal thoughts on POP3 and IMAP. POP3 you need to constantly take care of your own backup. Once your computer crashes all your Email gone. However, there are always cloud technology to take care of that. IMAP you need a huge storage in your hosting server to take care of that but you don't have to worry about backup. IMAP still the best solution for them. You can set to have the alert user when reach 80% quota. Atleast when they go oversea for holiday for 1~2 weeks, the mailbox won't full. User have to manually clear and housekeeping their email.
